A VIES VAT check tells you whether an EU VAT number is active for cross-border (intra-EU) trade on the day you check it. You enter the country and number on the European Commission’s VIES site, and it queries that member state’s national database in real time. If you also enter your own VAT number as the requester, you get a consultation number you can keep as proof. That proof matters: for zero-rated intra-EU supplies of goods, a valid customer VAT number is a condition, not a nice-to-have. The practical problem is doing this for every account in your CRM, every time. That is where automation comes in.

What is VIES and what does a VAT check actually confirm?

VIES stands for VAT Information Exchange System. It is not one central database. It is a search engine run by the European Commission that forwards your query to the tax administration of the country that issued the number, then shows you that country’s answer.

What a VIES VAT check result tells you (validity for intra-EU trade, name and address when shared, a consultation number) and what it does not (authorization, solvency, history)

A result can tell you:

  • Valid or invalid for intra-EU transactions, at the time of the request.
  • Name and address of the registered business, but only when the member state chooses to share them. Some countries return the validity only.
  • A consultation number, if you entered your own VAT number as the requester.

What it does not tell you matters just as much:

  • It does not confirm that the person you are dealing with is authorized to act for that company.
  • It does not tell you whether the business is solvent or legitimate beyond its VAT registration.
  • It does not store a history. Yesterday’s valid result says nothing about next month.

So treat a VIES check as one control in your customer onboarding, not a full due-diligence process.

Why does a valid VAT number matter so much for B2B sales?

Because the VAT treatment of the invoice depends on it. When you sell goods or services to a business customer in another EU country, the invoice usually applies the reverse-charge mechanism or a zero rate. Get the customer’s status wrong and your company can end up owing the VAT.

Since the EU “quick fixes” took effect in 2020 (Directive (EU) 2018/1910), a valid VAT identification number of the buyer became a substantive condition for exempting intra-EU supplies of goods. In plain terms: no valid number, no exemption.

For a sales and finance team, the risk shows up in three places:

  1. Quotes and invoices built on a wrong VAT status.
  2. Recapitulative statements (EC Sales Lists) that do not match what the tax office sees.
  3. Audit time, when you need to prove you checked, and you only have an email saying “the customer confirmed it”.

This is why we recommend validating the number at the moment an account enters your CRM, not when finance discovers a problem months later.

How do you run a VIES VAT check manually?

For a one-off check, the European Commission’s site is enough:

  1. Go to the VIES VAT number validation page.
  2. Select the member state that issued the number.
  3. Enter the number without the country prefix, without spaces or dots.
  4. Enter your own member state and VAT number in the requester fields if you want a consultation number.
  5. Save the result as a PDF or screenshot, together with the date, in the customer’s file.

That last step is the one most teams skip. A check you cannot prove later is only half a control.

Why does VIES sometimes say a correct number is invalid?

In practice, “invalid” usually means “not in the format or state VIES expects”, not “fake”. The usual causes:

Northern Ireland is the exception on the UK side: numbers with the XI prefix are used for goods trade with the EU and still validate in VIES.

How do you automate VIES validation inside monday CRM?

Here is the pattern we use with clients on monday CRM:

  1. Store the VAT number in its own column on the Accounts board, not in a notes field. One column, one format.

  5. Block the next step on a bad result. A simple workflow automation can notify the account owner or stop a deal from moving to “Quote sent” while the VAT status is not valid.

The result is boring in the best way: finance stops chasing sales for VAT details, and quotes are built on verified customer data.

What should the validation flow look like end to end?

A good flow covers the three moments where bad data enters or goes stale.

  • At intake: web form, manual creation or import triggers the check.
  • Before commitment: when a deal reaches proposal or contract stage, re-check the status if the last check is older than your policy allows.
  • On a schedule: for recurring customers, re-validate periodically, because registrations can be deregistered.

Keep the evidence where the work happens. A date column for “last VAT check” and a text column for the consultation reference (when you use one) mean nobody has to search mailboxes during an audit.

Is VAT validation a CRM job or a finance job?
